Reverting a Data File to Version 3 Format

Glossary  Return to Start  Previous  Next

If you need to convert a Knowbase data file to a format that can be read by Personal Knowbase version 3.x, you can write version 3.x data files using the Compact command. This is useful, for example, if you need to share a file with someone who is using an older version of Personal Knowbase.

To revert a data file to version 3 format:

Close any data file currently opened by selecting the Close command from the File menu.

If no file is open, the Close command does not appear.

Select the Compact command from the File menu.

The Compact Which File dialog box is displayed.

Select the folder where that data file is stored which you want to revert.

Select the data file's name from the list box.

Press Enter OR  select the Open button.

The Save Compacted File As dialog box is displayed.

Select the "Personal Knowbase 3" option in the Save as Type box.

Select the folder where you want the reverted data file to be written.

Type the name for the reverted data file in the File Name edit box.

OR Select a name for the file from the list box.

You may select the same name as you did in the Compact Which File dialog box. In that case, the reverted file overwrites the original file. If you select the same file name, Personal Knowbase asks you to verify that you want to replace the original file. Select the Yes button.

If the data file contains keywords which are not assigned to any articles, Personal Knowbase asks if you want to remove the keywords from the data file. Select the Yes button to remove the keywords or the No button to leave them in the data file.

Personal Knowbase now converts your data file to version 3 format. Please note that any version 4 formatting or options which were used in the data file are lost when reverting the file to version 3 format. For this reason, we recommend saving the reverted file to a new name and not overwriting the version 4 format file.
