Merging Data Files

You can merge two Personal Knowbase data files by importing one file into the other. All articles, keywords, and keyword groups from the second data file are added to the first data file. Reminders from the second file are not imported.

 

To import one data file into another:

 

Open the data file which you want to end up containing the data from both files.

 

If the file isn't open, refer to the procedure for Opening an Existing Data File.

 

Select the Import command from the File menu.

 

The Import dialog box is displayed.

 

If you want to check for articles from the second file which are identical to articles already in your first data file, click the Options button.

 

Check the Discard Duplicates option to automatically delete any duplicates found or the Report Duplicates option to report them to you, giving you the option of deleting them. Click the OK button to close the Preferences dialog box and return to the Import dialog box.

 

Select the Personal Knowbase Files option from the Files of Type box.

 

Only files with the KNO extension are now displayed.

 

Use the dialog box to select the folder and name of the data file you want to merge.

 

Select the Open button.

OR Double-click on the file name in the files list.

 

The Keywords for Imported Articles dialog box is displayed.

 

To assign one or more keywords to all imported articles in addition to the keywords they already have, type each keyword you want assigned into the New Keyword edit box and press Enter.

OR Double-click on the desired keyword in the Available Keywords list.

 

Each keyword selected is moved to the Assigned Keywords list.

 

When all keywords that you want to add are listed in the Assigned Keywords list, select the OK button.

 

The file is now imported. All articles and keywords from the second file are added to the first file.

 

If you opted to report duplicate imported articles and duplicates were found, you are asked whether to delete the duplicate articles now.

 

TIP:You can merge multiple files at one time by selecting multiple file names from the list box in the Import dialog box. Specified keywords are assigned to all articles merged from the imported files.
