Change Keywords for Highlighted Articles Command

Glossary  Return to Start  Previous  Next

The results of this command are affected by whether the current window is the Index Window or an Article Window.

The keyboard shortcut Ctrl+K performs this command.

From an Article Window

Modifies the list of keywords assigned to the current article. The Keywords for Article Dialog Box is displayed, showing a list of the keywords currently assigned. From that dialog box, you can add new keywords, assign existing keywords, or delete keywords from the list.

To create a keyword from selected text in the article content, use the Create Keyword Command (Keyword Menu).

From the Index Window

Modifies the list of keywords which are shared by all of the articles currently highlighted in the Titles column. This allows you to add or delete keywords for multiple articles at once.

First, highlight the titles of the articles that you want to modify. To select multiple titles, see Selecting Multiple List Items.

Then select this command from the Keyword menu, or from the right-click pop-up menu from the Titles column or from the Preview Pane when it is showing keywords. This command appears as Change Keywords for Highlighted Articles when in a pop-up menu.

The Shared Keywords for Highlighted Articles Dialog Box is displayed, showing a list of the keywords which are common to all of the highlighted articles. From that dialog box, you can add new keywords, assign existing keywords, or delete keywords.

The final list of Assigned Keywords are applied to each of the articles highlighted in the Titles column, replacing only those keywords which were shared by all of the highlighted articles. Any keywords which were assigned to only one or some of the highlighted articles are not affected. For example, deleting a keyword from the Assigned Keywords list deletes it from all highlighted articles, but affects no other keywords of those articles.

If this command is used with only one article title highlighted, the results are equivalent to using it from that article's Article Window.

Example:

You highlight 3 articles' titles in the Index Window:

Article 1)  Keywords:        cat, dog, ground squirrel

Article 2)  Keywords:        bear, cat, dog

Article 3)  Keywords:        bear, cat, dog

Selecting Change Keywords for Article with these 3 articles highlighted brings up the Shared Keywords for Highlighted Articles dialog box showing the 2 keywords common to all 3 articles:

cat

dog

Deleting dog from this list and clicking OK to exit the dialog box deletes the keyword dog from all 3 articles, but does not affect the other keywords.

Now we have:

Article 1)  Keywords:        cat, ground squirrel

Article 2)  Keywords:        bear, cat

Article 3)  Keywords:        bear, cat
