Importing Files from Windows Explorer

Glossary  Return to Start  Previous  Next

You can import information by dragging the file names directly from Windows Explorer into the Index Window.

These files are imported based on their extension, as text (TXT), HTML (HTM and HTML), RTF (RTF), Cardfile (CRD), Personal Knowbase (KNO) files, or delimited text files (CSV, TAB, or ASC). If the extension is not one of these predefined extensions, the files are imported as text files. See Results of Importing Files for more information about how each type of file is converted into Personal Knowbase articles.

To import files by dragging file names:

Open the Windows Explorer application and locate the file(s) that you want to import.

Start Personal Knowbase and open the data file that you want to import the files into.

If the file is not open, refer to the procedure for Opening an Existing Data File.

Make sure that the Index Window is displayed by selecting the Index button on the Toolbar.

Place the Personal Knowbase main window on your screen so that both the Index Window and Explorer are visible.

In Explorer, highlight the file name(s) that you want to import.

You can import multiple files at once by selecting all the files you want in the Explorer window.

Click on the selected file name(s), and hold the left mouse button down while dragging the mouse cursor to Personal Knowbase's Index Window.

Release the left mouse button.

The Keywords for Imported Articles dialog box is displayed.

To assign one or more keywords to the new article(s), type each keyword you want assigned into the New Keyword edit box and press Enter.
OR Double-click on the desired keyword in the Available Keywords list.

Each keyword selected is moved to the Assigned Keywords list.

When all keywords that you want to assign are listed in the Assigned Keywords list, select the OK button.

(If any of the imported files were delimited text files, you are now guided through the Column Data Import Wizard, in which you define the structure of the imported file.)

The file(s) are now imported. An article is created containing the text portion of each file. If the Open Imported Articles option from the Import tab of the Preferences dialog box is turned on, each imported article is displayed in an Article Window.

If the Article Window opened, you can modify the article now.

You may make any changes you want to the new article(s).

Close the Article Window by clicking on the window's close box.

If you made changes to the article, Personal Knowbase asks you to verify that you want to save the changes. Select the Yes button.
