Finds the articles associated with a specified combination of keywords. Build a logical expression in the Query edit box by clicking on keywords and operators. Queries can specify whether or not to include bookmarked articles, articles with attachments, articles related to a keyword group, or articles with no keywords. You can also specify to only include articles within a date range.

 

From the Build Query dialog box, select the OK button to run the query. All articles matching the logical expression are listed in the Index Window's Titles column.

 

When you first enter the dialog box, any currently selected keywords appear in the Query edit box. If the Selected Keyword Mode Command (View Menu) is set to AND, these keywords are connected by AND operators. If the Selected Column is set to OR, the keywords are connected by OR operators. For example, if you had previously selected keywords "June" and "email" and the Selected Column was AND, the starting query string would be "( June AND email )". You can build from this query string or Clear it and start over.

 

The Build Query dialog box is displayed when you select the Build Query Command (Edit Menu).

 

The controls for the New Query dialog box and the Edit Query dialog box are similar to the Build Query dialog box. These dialog boxes are accessed from the Manage Saved Queries Command (Edit Menu). In these cases, the OK button saves the query.

Index

 

Shows all keywords in the data file. To use a keyword operand in your query, double-click on the keyword in the list or highlight the keyword and press Enter. The keyword is inserted into the query string in the Query edit box at the current insertion point.

 

TIP:When the cursor is in the Index, typing the first few letters of a keyword moves the cursor to the keyword.

 

Operator Buttons

 

AND

Places an AND operator between two operands. The AND operator between keywords requires articles to be associated with both keywords to be included in the results.

 

OR

Places an OR operator between two operands. The OR operator between keywords requires articles to be associated with either keyword to be included in the results.

 

NOT

Places an NOT operator before an operand. The NOT operator requires articles to not be associated to the keyword to be included in the results.

 

Left Parenthesis

Places a left parenthesis in a query. Operators between parentheses are applied before operators outside. A left parenthesis must be balanced by a following right parenthesis.

 

Right Parenthesis

Places a right parenthesis in a query. A right parenthesis must be balanced by a previous left parenthesis.

 

Bookmarked

Places a BOOKMARKED operand in the query. The BOOKMARKED operand represents all bookmarked articles.

 

Attachments

Places an ATTACHMENTS operand in the query. The ATTACHMENTS operand represents all articles which have attachments.

 

No Keywords

Places a NOKEYS operand in the query. The NOKEYS operand represents all articles with no keywords assigned.

 

Keyword Group

Places a GROUP operand in the query. Select the name of a keyword group to apply this operand to. The GROUP operand represents all articles associated with any keyword which is a member of this group.

 

Query Edit Box

 

Shows the query string you are building. Selecting keywords and operators inserts them into this box to build a logical expression.  You can also edit the query string directly by typing into this box.

 

NOTE:To use keywords which contain parentheses characters, you must surround the keyword with double- or single-quote characters. For example, the keyword f(x) should be typed as "f(x)". If you select such a keyword from the Index, the required quotes are added automatically.

 

NOTE:To use keywords which contain double-quote characters ("), you must surround the keyword with single-quotes ('). To use keywords which contain single-quotes, surround the keyword with double-quotes. If you select such a keyword from the Index, the required quotes are added automatically. It is not possible to create queries using a keyword containing both single- and double-quote characters.

 

Dates

 

A date in the from box limits your results to articles dated on or after that date. A date in the to box limits your results to articles dated on or before that date. The dates are not available if the Query string is empty.

 

To locate articles based only on their dates, use the Find Command (Edit Menu).

 

Buttons

 

Clear

Clears the Query edit box so you can build a new query.

 

Undo

Reverses the last change made to the query.

 

Previous

Returns to the last Query string which was used to run a query from this dialog box.

 

Save Query

Saves the current query for future use with this data file. Select a name for this query from the Save Query Dialog Box. This button is only available in the Build Query dialog box.
