Column Data Import:  Fields to Columns Dialog Box

Glossary  Return to Start

This is the final step of the Column Data Import Wizard.  Now that you have defined where the data columns are, you need to specify which column maps to which field of a Personal Knowbase article.  You can specify a mapping by selecting the column from the appropriate drop-down menu or by clicking on the column in the File Preview pane while the cursor is in the corresponding field.

You can also specify the formats for the date and keyword columns in this step.

Select the Back button to return to the previous step of the wizard.  Select the Finish button to complete the wizard and import the file.  Select Cancel to stop the import process.

Delimited File

This is the full path and file name of the file you are importing.

Article Fields

Personal Knowbase attempts to automatically detect and assign the columns of your file to the appropriate fields, based on the text found in the Column Names line of your file which was specified in the previous Setup Dialog Box.  If a column's header is missing, the column is referred to by its column number (for example, "Column 1").

Title / Date / Attachment / Content

For each of the first four article fields, use their drop-down menus to select the column from your file which maps to that field.  When a column is selected, the corresponding column in the File Preview pane is highlighted.

Alternatively, place the cursor in the field's menu and then click on the corresponding column in the File Preview pane.  The drop-down menu changes to reflect the column you select.

If a field is not included in the data file, simply set that field to None.  In that case, this field will be left blank or contain the default value.

Keywords

You can select one or more columns from your file to contain keywords.  To set a keywords column, click on it in the scrollable list menu to highlight it.  Clicking on it a second time removes the highlight.  All keyword columns are also highlighted in the File Preview pane as you select them.

Alternatively, with the cursor in the Keywords menu, click on the corresponding columns in the File Preview pane to highlight them.  The list menu changes to reflect the columns you select.

The data from all columns highlighted in the scrollable menu are mapped to the article's keywords.  If no columns are highlighted, no keywords are taken from within the file.

Date Format

Select the code which specifies the order of the year, month, and day for the dates in your file.  The Y represents the year in the date.  The M represents the month.  The D represents the day.  All imported dates from a single file are interpreted in the same way.

For example, if one of your dates is 4/6/1997, and the month is April, the correct code is MDY.  If the month is June, the correct code is DMY.  For a date like 20020820, the correct code is YMD.  For "Jan 1, 2001", the code is MDY.

Keyword Delimiter Within Column

Select the character which your file uses to separate the keywords from each other within the keyword column(s).  If your file uses a character other than Comma, Tab, or Space, select Other and type the delimiter character into the box to the right.  Select None if there are no keywords in the file or if each keyword appears in its own column.

File Preview and Ruler

Your import file is displayed.  Data will not be imported from the grayed lines.  Select the Back button twice to change which line the data starts on.

To map a data column to an article field, place the cursor in the drop-down menu for the appropriate field, then click on the corresponding field in the File Preview pane.  The drop-down menu changes to reflect the column you selected.  Use the horizontal scroll bar to reach any columns which are not originally visible in the pane.

Unprintable characters, such as tabs, may appear as small boxes:

A small Enter symbol indicates that this field contains multiple lines.  Only the first line is previewed.
